Events-Creating and Managing Attendance Records

In Liszt, Attendance records are a digital representation of a person attending an event. In many cases, these records are automatically generated from card, geolocation, timecode, or IT-record, but they can be created and edited within Liszt.

Attendance Records are found in `Schedule>Attendance`.

Creating Attendance Records

To create a new Attendance Record, click the New Attendance Record button. On the form that appears, you will be able to edit the following fields:

Details Tab

Student: Person record (as available in People>People)

Event: Event record ("outside event" or as available in Schedule>Events)

Comment: Text field for notes regarding attendance record.

Invalid: The validity of the attendance record. Some records, once entered, may need to be invalided for a variety of reasons. Liszt includes the following options for validity:

  • Valid (Attendance record counts toward Attendance Requirement)
  • Invalid-General (General Invalid Status, Attendance record does not count toward Attendance Requirement)
  • Invalid-Duplicate (Duplicate Attendance Credit, Attendance record does not count toward Attendance Requirement)
  • Invalid-Performance (Person referenced performed in event (which some organizations may not count), Attendance record does not count toward Attendance Requirement)
  • Invalid-System (Reserved for system use (usually when an event is not found by the credit algorithm), Attendance record does not count toward Attendance Requirement)

Because the Attendance Records form runs through a loop for creating attendance records, it is incredibly easy to grant credit to many people. It is also incredibly easy to grant credit for the wrong event to many people. Attendance Records cannot be bulk deleted. Be careful while using this tool.

A Note on Deleting People

Because people records are tied to event attendance, events, and the entire Inventory system, people records cannot be deleted without first checking in the items checked out to that record and deleting the event attendance records attached to that person record.
